Every few weeks, someone at our plant asks me some version of the same question: should we spend money on this printing thing?
I'm the procurement manager at a 180-person commercial printing company. I've managed our equipment and parts budget — roughly $450,000 a year — for 8 years, negotiated with 50-plus vendors, and documented every order in our cost tracking system. When people ask me whether a printing purchase is worth it, I don't give them one answer. The right call depends on which situation they're in.
Here's the thing: it comes down to four scenarios. You're either:

Here's where my advice gets counter-intuitive: a rebuilt Goss Community — say, a 2000s-era line that's been reconditioned — is often the better total-cost choice than a brand-new entry-level press. Your crew already knows it. The parts were proven over decades. Depreciation is mostly baked in.

You're not saving money by doing it yourself; you're just shifting the cost to a different budget line.
Above 100 pieces a month, or when you need same-day turnaround for an event, in-house starts to make sense. Between 20 and 100, the honest answer is: it depends on your waste rate. One more limitation, and this one is non-negotiable for branded work: color. Resolution isn't the issue — any decent sublimation printer hits 300 DPI. The problem is accuracy. Consumer sublimation can't reliably hold brand-critical Pantone colors; industry standard for corporate identity is Delta E under 2, and most desktop sublimation workflows land in the 4–6 range. For internal giveaways, nobody cares. For client-facing products, that mismatch becomes reprints.
Scenario C: 3D Printer Nozzle Size — Why "Standard" Isn't Right for Shop Parts
This one surprised me. Our maintenance team asked for a 3D printer in 2023, and I pushed back. Now I'm the one suggesting it — with a spec change most people don't expect.
I'm not talking about printing press drive components. I don't care how strong the filament claims to be; I'm not putting a 3D-printed gear in a running press. But jigs, fixtures, spacers, alignment blocks, and protective shrouds? Absolutely. We printed a set of guide rails for a folder section that would have cost $700 from an outside source. Scenario D: How to Get a Printer Back Online Without Overspending
It's 9:30 on a Tuesday. The operator calls: the press control system won't connect, or the proofing printer shows "offline," and the client deadline hasn't moved. The instinct is to throw money at it — call the service company, order the part, do whatever it takes.
Stop.
Here's the thing: the question I actually get asked — how to get a printer back online without blowing the budget — has a standard answer. It's a sequence, not a purchase.
- Ten-minute check. Cables, network connection, stuck print queue. In our plant, maybe 8 out of 10 "it's broken" calls end up being one of those three. I don't have hard data on industry-wide rates, but I'd bet the pattern is common.
- Remote diagnostics. Most vendors offer this free or at low cost, and it takes under an hour.

How to Tell Which Scenario You're In

- Is it a side project? Merch, prototyping, shop aids — that's Scenario B or C territory. Ask the volume question first, and let the numbers talk.
- Is production stopped right now? You're in Scenario D. Run the 10-minute check, then escalate in order.
Real talk: the worst purchasing mistake I see isn't choosing the wrong printer or press. It's paying for a solution before asking which problem you're solving. Figure that out first, and the equipment decision gets a lot easier.
