A Goss Press Isn't the Only Answer: Match the Machine to the Job

Start with the output, not the device

Since 2020, I have been office administrator for a regional publishing group with two dailies, one weekly, and a contract printing side. I manage roughly $700,000 in print and equipment spending across six vendors, and I report to both operations and finance. When someone in the building says “I need a printer,” I have learned to pause. They may mean a Goss printing press. They may mean a badge printer machine. One time they meant a kid 3D printer for our high school outreach program. Sometimes they just want the office printer to talk to their phone.

There is no single answer that covers all of those. So instead of starting with “What printer should we buy?” I start with two questions: What is the output, and what will happen to it after it is printed? In practice, the requests fall into four buckets:

  • High-volume paper products, mostly identical, folded and distributed: this is where a Goss printing press belongs.
  • Plastic badges or ID cards with different names and credentials: you want a badge printer machine.
  • Physical models, toys, or classroom projects: look at a kid 3D printer, but understand it is not a production printing device.
  • One document from a phone to an existing printer: the question is how to connect my phone to my printer, not which new machine to buy.

Scenario A: High-volume paper for distribution, and when a Goss press reconfiguration makes sense

If the request is for a large number of identical, folded products on lightweight paper—newspapers, inserts, shoppers, weekly publications—you are not buying a desktop printer. You are deciding how much press capacity you need. That is the point where a Goss printing press becomes part of the conversation. In our group, the Goss Community line runs the smaller weekly work, and the Goss Urbanite handles the regionals. They are not interchangeable, and picking either one by comparing quoted monthly payments would be a mistake.

Here is what I started telling people that surprises them: if you already own a Goss press, ask for a Goss press reconfiguration quote before you convince yourself that you need a new line. In 2023 we added another weekly to our portfolio. My first instinct was to buy a replacement press. The reconfiguration estimate from Goss listed every tower, drive, control upgrade, electrical requirement, and scheduled shutdown. It was the higher number at the top. A different supplier presented a “complete system” with a lower headline price, and I almost stopped reading there. Then the add-ons appeared: rigging, foundation work, training, and an installation window that would have cost us two issues. The line-item quote was the cheaper one in the end.

Honestly, I almost chose the cleaner-looking bid because it fit the budget template. After we signed the reconfiguration, I kept second-guessing. What if the old press had more wear than the engineering drawings showed? I didn’t relax until the first full run held registration from page one to the back page.

I don’t have hard data on how many press replacement budgets get blown by rigging and foundation work, but in our 2024 reconfiguration those were the two categories we almost missed. Ask for them in writing. Also ask what the vendor does when the press is opened and finds a part that looked okay in the engineering drawings. The answer tells you whether the quote is honest capacity or optimistic guesswork.

Before you commit to a press format, do the mail math. According to USPS Business Mail 101 (usps.com, verified in January 2025), a 1-ounce First-Class letter costs $0.73, while a 1-ounce large envelope costs $1.50. If your publication is flat-sized instead of letter-sized, that difference can eat a meaningful part of your printing savings. I wish someone had made me do this calculation before I approved our first insert line. We printed a beautiful product, then paid more than necessary to mail it.

There is also no zero-downtime reconfiguration. If a salesperson says otherwise, get it in writing. Schedule the work outside your busy cycle, add a week of cushion, and make sure the proposal separates plate costs from make-ready costs. In commercial offset work, plate making is commonly in the $15 to $50 per color range, based on public online printer fee structures from 2025. The line-item itself is not the shock; the make-ready time around it is.

Scenario B: Plastic name badges, visitor passes, and ID cards

If the request is for 50 to 500 plastic cards, each with a different name or credential, a badge printer machine is the right category. It is not a miniature press; it is a specialized desktop printer that prints directly onto blank card stock. We bought one in 2022 for events and visitor access, and it solved a recurring problem that no amount of outsourced printing could solve at the same speed.

My early mistake was comparing two badge printer machine quotes by model number and assuming the difference was only price. It wasn’t. The cheaper quote did not include the ribbon cartridge, the cleaning cartridge, the maintenance kit, or the software license. The machine looked affordable until I added the items that make it usable. I assumed “same specifications” meant the same total cost. Now I ask “What is not included?” before I ask “What is the price?” (mental note: I should have learned this earlier than 2022.) The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end.

For our conference badge workflow, we also calculated per-card cost with operator time, not just machine price. A card printer with 200 prints per ribbon may still be cheaper than an event supplier if you need badges this afternoon. But if you only issue badges twice a year, the consumables can expire before you use them. That’s why I keep a note on the purchase request form: “Badge machine purchase is not an automatic yes for every event department.”

Scenario C: A kid 3D printer is a different budget category

A kid 3D printer is not a printer in the way production print people use the word. It is a small fused-filament machine that pushes heated plastic through a nozzle, layer by layer. It can be excellent for classrooms, maker spaces, and school outreach, but it belongs in the teaching and prototyping budget, not next to your press parts order.

The questions I ask for a kids 3D printer purchase are different. Is it enclosed? Does the filament require ventilation? Which safety standards does the machine meet? Per FTC advertising guidance, claims like “kid-safe” or “educational” need to be substantiated, so ask for the report rather than believing the box. I don’t have hard data on how many low-cost starter kits run out of filament after the first two prints, but in our outreach project, the sample spool lasted exactly one small model. We needed a separate line for filament and a first-layer spares kit before the project was over.

That is not a reason to avoid a kid 3D printer. It is a reason to treat it as its own category, with its own consumables, training, and supervision. If a teacher says they want one for a class demonstration, put the safety and material costs in the request before comparing hardware prices.

Scenario D: “How do I connect my phone to my printer?”

This is the most common request I get, and it is the one that rarely needs a purchase. People ask me how to connect my phone to my printer because the printer box says wireless, but the phone shows nothing. The fix is usually one of these:

  • Put the phone and printer on the same network, not a guest network.
  • Check whether the printer supports AirPrint, Mopria, or the manufacturer’s own app.
  • Update the printer firmware and the phone’s operating system.
  • If the printer offers Wi-Fi Direct, use it for a single job instead of trying to get both devices onto the office network.

The upside of fixing this is obvious. The risk of ignoring it is that someone buys a new printer to solve a router problem. We printed a one-page cheat sheet titled “how to connect my phone to my printer” and taped it beside the copier. It saved more time than any equipment purchase we made that quarter.

Which scenario are you in?

Before I sign an equipment request, I run through four questions. First, what is the output: paper, plastic card, or a physical object? Second, how many copies do you need per run, and does the content change from copy to copy? Third, who will run and maintain the machine, and what happens when that person is out? Fourth, what is the total cost—including setup, postage, consumables, training, and downtime—rather than the number at the top of the quote?

That process is what separates a Goss press reconfiguration decision from a badge printer machine decision, and a kid 3D printer request from a phone connectivity issue. A Goss printing press is the right answer when the volume and distribution actually require high-speed web offset. A badge printer machine is a no-brainer when your organization regularly prints credentials in-house. A kid 3D printer can change how a classroom learns. And a phone-to-printer problem is often a five-minute training fix. Each has its place. Just don’t buy one because both tools happen to be called a “printer.”
